Hayes Business Support Services (ABN 51 272 463 507) of 39 Woodlark St, Lismore NSW 2480 (“we”, “us”, “our”) respects your privacy and is committed to protecting the personal information we hold. This policy explains what information we collect, how we use it, who we share it with and how you can access or correct it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Information We Collect
The information we collect depends on how you deal with us.
Website visitors and enquirers. If you contact us through this website, book a callback or phone or email us, we collect your name, contact details and the content of your enquiry.
Clients. If you engage us for bookkeeping, payroll or admin services, we collect the information needed to do that work. This can include business and financial records, bank transaction data, supplier and customer details, invoices and bills, and access credentials for software such as Xero and job management platforms, provided with your authority.
Your employees. If we prepare payroll for your business, we handle personal information about your staff on your behalf, including names, contact details, tax file numbers, superannuation details, bank account details and employment records. We handle this information solely to deliver the payroll services you have engaged us for.
Admin support callers. If we answer phones or manage correspondence for a client business, we collect the details callers and correspondents provide so we can respond and pass information to the business concerned.
We do not collect personal information we do not need, and where practical you can deal with us anonymously, for example when making a general enquiry.
How We Collect Information
We collect personal information directly from you: through the contact form and callback booking on this website, by phone and email, in person at our Lismore office or your premises, and through the software platforms you authorise us to access, such as Xero. Where we handle information about your employees, customers or suppliers, we collect it from you or from those platforms in the course of the services you have engaged.
How We Use Your Information
We use personal information to:
- Respond to enquiries and provide quotes and proposals
- Deliver the bookkeeping, payroll and admin services you engage us for
- Assist in preparing BAS information as described below
- Communicate with you about your engagement, including invoicing
- Meet our legal, professional and record-keeping obligations
- Improve our services and this website
We do not sell personal information, and we do not use your information for marketing without your consent.
Disclosure to Third Parties
We only disclose personal information where it is necessary to deliver our services, where you have authorised it or where the law requires it. This includes:
BAS services. We assist in preparing your BAS information, which is reviewed and lodged by BAS Advisory Group Pty Ltd (registered BAS agent no. 26328712) under a supervised arrangement. Information relevant to your BAS is shared with BAS Advisory Group Pty Ltd for that purpose.
Your accountant. With your authority, we liaise with your accountant and share the records they need at year end and throughout the year.
Software and service providers. We use cloud platforms to deliver our services and run our business, including Xero (accounting and payroll), Calendly (callback bookings), and job management platforms such as ServiceM8 where relevant to your engagement. These providers store data on servers that may be located overseas, and each operates under its own privacy policy.
Regulators and the law. We may disclose information where required by Australian law, including to the Australian Taxation Office in connection with your obligations.
Website, Cookies and Analytics
Like most websites, this site may collect standard technical information such as browser type, pages visited and time on site. We do not currently run an analytics platform such as Google Analytics on this site, and we do not set our own tracking cookies.
This site does embed third-party services, which may set their own cookies and collect technical information under their own privacy policies:
- Calendly, used for callback bookings on our contact page
- Google Maps, used to show the location of our Lismore office
- Google reCAPTCHA, used to protect our contact form from spam. Its use is subject to the Google Privacy Policy and Terms of Service.
You can disable cookies in your browser settings, though some site features, such as the callback booking, may not work as intended.
Storage and Security
We take reasonable steps to protect the personal information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. This includes password management practices, secure cloud platforms with access controls, and limiting access to information to the people who need it to do the work. No method of storage or transmission is completely secure, but protecting client information is treated as a core part of how we operate.
How Long We Keep Information
We keep personal information for as long as needed to deliver our services and to meet legal and professional record-keeping obligations, which for financial records is generally at least five years. When information is no longer required, we take reasonable steps to destroy or de-identify it.
Access and Correction
You can ask for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below and we will respond within a reasonable time. There is no charge for making a request, though a reasonable fee may apply to cover the cost of providing access in some cases.
